Minutes of UCSC Alumni Association, LA Chapter, 8/29/03

Meeting called to order at 6:20 PM at Borders in Sherman Oaks.

The minutes from the previous meetings 8/24/03, 8/7/03, 7/23/03, and 6/8/03 were not approved. Fran agreed to take minutes since Charlie was absent.

New Business:

Alumni-New Student Send-Off Party: September 6, 2003

As of this day, 170 people have RSVP'ed for the party. We need to move the location of the party from Judy Silk's house. Judy has identified a nearby park that we can move to. We will do a site visit to it tomorrow morning (Saturday 8/30/03) at 10am.

Two people are coming down from the UCSC alumni office.

We'd like to get some gift certificates from Allison. Maybe from Bookshop Santa Cruz or the Bay Tree Bookstore? Or from Target?

Maybe we can get Marti Noxon to speak? Roz or Allison will ask.

Venue
We have some questions:

Does the park have restrooms?
Should we do Temescal - upper or lower? - lower is closer to the ocean - it has bathrooms
- Lower Temescal has 25-30 tables
- Judy will make reservations on Tuesday morning (since Monday is Labor Day)
Find out if there is power at the site - for amp and music
Will we need to rent stereo equipment? Judy has a boombox, and Fran has a practice amp to bring. We also need a microphone.
Judy will make maps/signage from her house to the park.

Rentals
We need to have places to sit for grandparents. We should sit 8 to a table and get 25 tables, and 200 chairs.

We should look into a canopy instead of umbrellas.

We should get table cloths in blue and gold. Look into renting these.

We need folding tables for check in and food. Robin and Rachel can each bring 3. Fran can bring 1.

We need to bring drink buckets.

Decorations
Balloons - We will get 1 bag of regular assorted balloons, and 15 yellow and 15 blue balloons. We will also get 1 helium tank.

Fran will bring a step ladder in case we need it for decorating.

Robin will get a raffle bowl and decorate it.

Fran will do signage for each college area, welcome signage, and UCSC signage, as well as recycle signs.

Food
We need to order more food. We need food for 200. Right now, the cost is $650. Fran & Roz will pick up the food at 10am from the Co-Opportunity Coop in Santa Monica.

Fran will pick up drinks (bottled lemonades, iced tea, etc).

Judy will pick up utensils and stuff like that. Fran will send Judy a list of what was left over from the Summer Trip.

Volunteer Duties
Fran will send the members of this meeting a list of things to do.

Program Order
Roz will work on the program and let us know.

Next Event:

The next event is our New Student Send Off Party and it will be held on Saturday, September 6, 2003 at noon at Judy Silk's house.

The next meeting will be determined after the New Student Send Off party.
