Officer's Minutes of UCSC Alumni Association, LA Chapter, 12/15/02

Meeting called to order at 10:15 AM.

The minutes from the previous meeting 11/24/02 were not approved since
Michele has not sent them from Amsterdam yet.

New Business:

Regional Leader's Handbook:

Fran brought copies of the Regional Leaders' Handbook. Roz asked Fran to explain the functions and duties of each office and officer. Fran also explained what the Alumni office expected of our chapter and how much assistance they would provide. Roz suggested we concentrate this year on recruiting more alumni, working more with newly accepted students, and with becoming more involved with more recently graduated alumni. The officers agreed that these sounded like excellent goals.

Activities Report:

We then brainstormed on ideas that might generate more involvement and participation. We agreed to e-mail suggestions and to stay focused on recruitment, participation and support. Possible ideas included a Board of "Directors" or "Trustees" who would be a supportive resource without having to carry on "operational" duties. Mixers and "dating lines" were also suggested to involve and recruit alumni. Fran pointed out that many alumni have families and request that events involve the whole family.

Fran pointed out that because we were a relatively "young" campus that we could be leaders in developing a "new" kind of alumni base and interactive involvement beyond the traditional solicitation of funds.

We complimented Roz on her drive and determination to make the LA Alumni Chapter a success. We also decided to try a more formal approach to our meetings, communications, and activities to find out if that might gather more participation and alumni support.

2003 Calendar of Possible Events:

We then set up a calendar of possible events that attempted to target the differing segments of alumni.

January - Jan 19, 2003, 11am

The tentative date of January 12 was reset to the 19th for Dim Sum Madness. Allison Garcia will send out the e-mails to the alumni regarding the event. We will recruit supporters and participants from those attending the event. Participants will contact Roz. Rachel, Fran, and Charlie will share in contacting the RSVP's. The event will be held at Ocean Seafood Restaurant, 750 North Hill Street on the 19th of January.

February - Feb 9, 2003, 5pm

Regular meeting on the 9th at 5 p.m. Location TBA. This meeting will include people we recruit at the Dim Sum Madness meeting in January.

March - Mar 14, 2003, 7:30pm

March Mixer Friday the 14th at 7:30 p.m. We are working on a West Hollywood venue to be announced.

April - Apr 13, 2003, 5pm

We will hold a business meeting on the 13th at 5 p.m. in a location to be announced.

May

Wine Tasting Event, Scholarship Fundraising / Silent Auction at a location to be announced on May 18th.

June

A meeting to assemble mailings for newly accepted UCSC students. The time and location will be announced. Fran pointed out that doing self mailings would be a long and laborious activity.

July

We agreed to brainstorm and develop possible scenarios for an alumni traveling-event like our past events in the Sea of Cortez or the Santa Cruz Islands. Fran told us that a trip requires a lot of planning and follow-up, but that it was very rewarding.

August

We agreed to find out if Frank Drake could come to an astronomy event coinciding with the Perseid's Meteor Shower (peak is August 13, 2003) so that he could present about extra terrestrial life and the SETI project. Tentatively we decided to look for a location in the Santa Monica Mountains.

September

A planning meeting with the time, date, and location to be announced. Our goal is to make sure that the October Mixer is a major success.

October

A theme-based mixer event to involve alumni. We hope that the event recruits a large number of involved alumni who will participate in the upcoming November election. The goal, besides having fun is to recruit involved and participating alumni to the annual November business meeting.

November

We will hold the annual LA Alumni Chapter Business Meeting at a location that is family based. The meeting will focus on the year's accomplishments and the election of new officers for the 2003-2004 year.

Finance Report:

None made at this time (but we have money in the bank).

Next Event:

The next event will be held on Sunday, January 19th at Ocean Seafood.

Next Meeting:

The next meeting will be held on Sunday, February 9th at a location to be determined. We adjourned with the promise that we would e-mail each other with ideas and that we would share the work amongst each other to make the chapter an even greater success.
